STEPS OF THE MONITORING AND CONTROL PHASE

In project management, the monitoring and control phase is basically comparing the actual with the target. In other words, measure project performance against the project plan.

Monitoring and Control consists of 4 key activities:
➢Define metrics and objectives
➢Collect real data
➢Identify any areas where changes are required
➢Initiate changes, when necessary

Measure project performance

METRICS AND KPIs: The PM defines the metrics and key performance indicators (KPIs) to measure the performance of the project.
Optimally, three to five KPIs should be selected for each project.

TARGET: The project performance baseline is used as a reference point.

CURRENT: Collection and reporting of actual data.
• Responsible: The PM will predominantly carry out the tasks, but other members of the team also participate.
• Frequency: data collection has to occur Regularly (daily/weekly/monthly) and not just around the end of the project.

Use techniques such as Earned Value Analysis (EVA), Analysis of Variance, Performance Index Analysis.

QA

The project must be executed in a way that ensures that the final product has the desired features and capabilities. During planning, the PM collected all the requirements, established quality objectives and prepared a quality control plan (measurement of
actual data vs. targets). The quality standards, the objectives and how they are controlled will be very different from one project to another, as will the scope, but we must control the Quality of the different activities.

The data is collected through quality audits, controls and inspections (this corresponds to the Actual Values ​​register, which we review for Deadlines and Costs.
